SDM - Non-Served Documents (NSDs)

Served Document Manager™ - Non-Served Documents (NSDs)

Every item that comes through SDM doesn't have to be a Served Document. A Non-Served Document (NSD) is anything that arrives in SDM that is not tied to a legal service of process. This page will explain why NSDs show up, how they can be classified, archived, or routed to another department.

NSDs in Served Document Manager

Branches, offices, and mailrooms often get stuck deciding where the documents received should go, with no easy way to determine what counts as a legal document. Many follow a simple rule: if something looks like it could be legal, send it to legal. This runs the real risk of a legal document slipping through the cracks while also inundating the legal department with documents that are not meant for them.

SDM solves both problems with a single, streamlined process for sending documents in, so nothing gets missed. A single Intake Event can include both Served Documents and NSDs. As they arrive, AI classifies each one based on your company's settings, which removes the time-consuming manual review and sets up reviewers for a quick check to ensure every document gets routed to the right place.

NSD Subtypes

Your company defines the Subtypes for documents that do not qualify as Served Documents (i.e., junk mail, customer complaints). Each Subtype carries an AI classification Description that helps Safari recognize these documents automatically. To learn how to create an NSD Subtype, see SDM - External Subtypes.

Archiving an NSD

Archiving an NSD flags it for storage, because an NSD is not tied to a legal service of process, it cannot be routed to fulfillment. The Archive button appears in the document header only when you are reviewing an NSD. To archive an NSD:
  1. Navigate to the NSD you want to Archive
  2. Select Archive in the document header. A confirmation message will appear: "Document will be stored in the Archive."
  3. To undo, select Archive again or select Cancel any time before selecting Finalize
Once you select Finalize, the Archive button becomes read-only, and the archive selection cannot be changed. See SDM - Document Viewer Actions for more information.

Routing an NSD to Another Department

Some NSDs may need to be routed to another team. A customer complaint, for example, may need to reach the branch or a customer service group rather than legal. Today, moving an NSD to another department is a manual step. Download the document from the Document Viewer, then send it to the correct department outside of the Safari platform. Future releases anticipate sending an NSD to other departments directly from SDM.
Idea
Set up an NSD Subtype for each recurring destination, such as customer complaints. Classifying these documents consistently makes them easier find and route.
