SDM - Document Viewer Actions

Served Document Manager™ - Document Viewer Actions

In the Document Viewer, every document in an Intake Event needs an action assigned before you can finalize and route the event. An action is simply your decision about what should happen to that document. Which actions are available depends on whether the document is a Served Document or a Non-Served Document.

While changes display immediately in the Document Viewer, no action is saved until you select Save Draft or Finalize & Route.

Document Viewer Actions: RECLASSIFY

Reclassify lets you change what a document is classified as. The Reclassify dropdown lives in the document header and lists Types and Subtypes, along with SDM - External Subtypes. Picking a new classification immediately updates the document header, the action buttons, the Thumbnails, and the Table of Contents.

To reclassify a document:

  1. Navigate to the document you want to reclassify.
  2. Select a new classification from the dropdown.
  3. The document header, Table of Contents, and Thumbnails update immediately to reflect the new classification.

Switching a document between Served and Non-Served changes which action buttons you'll see. As with everything else, changes aren't saved to the database until you select Save Draft or Finalize. Once you've selected Finalize, the Reclassify field becomes read-only and the classification can no longer be changed.

Document Viewer Actions: ROUTE

Route marks a document as ready to be pushed into its designated pipeline when the Intake Event is finalized. For Served Documents, this creates a matter in the Safari fulfillment system or pushes the document out to the appropriate system.

To route a document:

  1. Navigate to the document in the Document Viewer.
  2. Select Route in the document header. A confirmation message appears noting that the document will be routed to a preconfigured location set by your company.
  3. To undo, select Route again or click Cancel any time before selecting Finalize.

Once you select Route, a Route badge appears on the document's row in the Table of Contents. After Finalize, you can't make further changes to the document, and the Route button becomes read-only.

Route is not available for Non-Served Documents.

Document Viewer Actions: SPLIT

Split lets you divide one document into two or more separate documents.

To split a document from the document header:

  1. Navigate to the document you want to split.
  2. Select Split in the document header; the left panel switches to the Thumbnails tab automatically.
  3. A Split marker appears below the page. Click and drag it to whichever page you want the split to happen.
  4. Click the Split marker to confirm.

To split a document from the Thumbnails tab:

  1. Click the Thumbnails tab in the left panel.
  2. Hover between two pages to reveal the Split marker, then click and drag it to the page where you want the split.
  3. Click the Split marker to confirm.

After you confirm, a new document entry appears immediately in the Table of Contents, Thumbnails, and Document Viewer. Classify the new document using the Reclassify dropdown. To undo a split, use the Merge action before selecting Finalize. Once finalized, document boundaries can't be changed.

Document Viewer Actions: MERGE

Merge combines two documents when pages have been separated incorrectly. The document being merged takes on the type, subtype, and attributes of the document it's merged into.

To merge a document:

  1. Navigate to the document you want to merge.
  2. Select Merge in the document header.
  3. Choose whether to merge into the Prior Doc or the Next Doc.
  4. The change displays immediately in the Table of Contents, Thumbnails, and Document Viewer.

To undo a merge, use the Split action any time before selecting Finalize. Once finalized, document boundaries can't be changed.

Document Viewer Actions: ARCHIVE (Non-Served Documents Only)

Archive lets you flag a Non-Served Document (junk mail, a customer complaint, etc.) for storage instead of routing. Archive is only available for Non-Served Documents (NSDs); when you're reviewing an NSD, the Archive button appears in the document header.

To archive an NSD:

  1. Navigate to the NSD you want to archive.
  2. Select Archive in the document header. A confirmation message appears: "Document will be stored in the Archive."
  3. To undo, select Archive again or click Cancel any time before selecting Finalize.

Once you select Finalize, the Archive button becomes read-only and the archive selection can't be changed.

To Merge a document:
  1. Navigate to the document you want to merge
  2. Select Merge in the document header
  3. Select whether to Merge into the Prior Doc or the Next Doc
  4. The change will display immediately in the Table of Contents, Thumbnail and Document Viewer
To undo a Merge, use the Split action at any time before selecting Finalize & Route. Once routed, document boundaries cannot be modified. 

Document Viewer Actions: ARCHIVE (Non-Served Documents Only)

'Archive' lets a reviewer flag a Non-Served Document (i.e., junk, customer complaint, etc.) for storage instead of routing. Archive is only available for Non-Served Documents (NSD), when reviewing an NSD the Archive button appears in the document header. 

To Archive an NSD:
  1. Navigate to the NSD you want to Archive
  2. Select Archive in the document header. A confirmation message appears "Document will be stored in the Archive"
  3. To undo, select Archive again or click Cancel at any time before selecting Finalize & Route
Once Finalize & Route is selected, the Archive button becomes read-only and the archive selection cannot be changed.
