SecureShare - Overview

What is the SecureShare Portal?

SecureShare is a purpose-built portal for delivering responsive documents and automating payment collection.  Its core benefits are security and ease of use.
Why is it called the SecureShare Portal and not the Safari Portal?  We chose a more descriptive brand name to avoid confusion for Serving Parties, who may not be familiar with Safari.

State-of-the-art Security 

  1. Multi-factor authentication.  SecureShare uses highly secure multi-factor authentication--without requiring that you personally communicate with the Serving Party. 
    1. How does it work?   SecureShare first sends the Serving Party a unique portal URL and passcode. The Serving Party clicks the URL link and then enters the passcode.  Once the link and passcode are validated, the Serving Party requests a one-time PIN (delivered via email, fax, or mobile, depending on the information input in Safari).  The PIN remains valid for 20 minutes, which ensures that only a person with real-time access to the associated email/fax/mobile can access the SecureShare portal.  Learn more at SecureShare Issuer Experience.
    2. Note about the one-time PIN.  By default, the system requires the PIN.  Your company's Safari system Owners or Admins can make this step optional, but Safari does not recommend it because the PIN adds an extra layer of security.
  2. Encryption.  Safari encrypts all files using 256-Bit AES and TLS v1.3 throughout the process—during upload, while at rest, and during download.
  3. Isolation and deletion.  SecureShare creates a unique portal (hosted on Microsoft Azure) for each document delivery.  The portal closes either when the Serving Party confirms receipt or 14 days after it was opened. 

Ease of Use    

  1. Easily upload files to deliver
    1. Any number: You can upload and deliver unlimited files.
    2. All file types:  You can upload and deliver any file type.
    3. Very large files:  The maximum size for an individual file you can upload is 50 GB.  But you can upload as many files as you want, so there is to limit total size of all files you can deliver.
    4. Speed:  Safari features one of the fastest available tools for file upload.
    5. Drag and Drop:  It’s simple to drag and drop files into the Response folder.
  2. The portal does everything for you
    1. You open the portal and Safari takes care of everything: delivers login credentials, zips files for download, tracks all activity, and reminds the Serving Party when the portal is about to expire.
    2. Once you open a portal, Safari removes the matter from your "Active-Unresolved" list and alerts you only if something needs your attention.  For example, if the email with login credentials bounces, you’ll see an action alert and the matter again appears in your Active-Unresolved list.  
  3. Automated invoicing and payment. The portal’s paywall activates when you include an invoice with your response.  The Serving Party can see that the documents are available but has to pay the invoice to download them.
  4. Instructions to the Serving Party. Add instructions in the portal for the Serving Party / Requester and choose whether they need to acknowledge them before downloading any documents.  If acknowledgment is required, it will recorded in the audit history and a copy with proof of acknowledgment will be emailed to the Serving Party / Requester.
  5. Rolling Productions. You can open a portal, and then continue to add documents.  Safari automatically notifies the Serving Party that documents are added to the portal.  Use subfolders to organize the documents into volumes.
  6. Fully audited. The Delivery Details section of the matter captures all portal activity.
  7. Advantages for Serving Parties / Requesters         
    1. The Serving Party doesn’t have to install anything, set up a user account, or manage encryption keys. 
    2. SecureShare works even with most older browsers (though we recommend current versions of Chrome, Edge, or Firefox).
    3. SecureShare is designed to maximize download speed, even if the Serving Party has a slow internet connection.

How Does the Process Work?

Below is an outline of the process for to deliver responsive documents through SecureShare.
  1. Upload the documents to the Response folder.  Everything in this folder will be available to the Serving Party when you open the portal.
  2. If necessary, use subfolders to organize the document for the Serving Party.
  3. Change the status to Delivery Setup -- the wizard takes you through the steps to open the portal
    1. Specify how login credentials will be delivered
    2. Confirm the address
    3. Choose an invoice type, or select No Inv / No Cost recovery
    4. Review and update the expiration date if needed.
    5. Review and update any instructions provided to the Serving Party
  4. Safari sends login credentials to the Serving Party.
  5. Remember that you can add documents to an open portal (e.g., rolling production).
  6. The Serving Party logs into the unique portal, pays the invoice if you included one, and downloads documents from the Response folder.
  7. The Serving Party can then close the portal, or it automatically expires on the expiration date.  (You can also close or extend the portal.)
  8. If the Serving Party hasn’t logged in, the system reminds them five days, three days, and one day before the portal expires.    

Manual Delivery (No Portal)

If you need to send documents another way (email or overnight courier, for example), you can select those options and log the details in Safari.
