Docs - Folders and Subfolders

This help page contains information about folders, subfolders, subfolder groups, and folder alerts.

Overview

Safari's view of a matter allows you to see data on the left while also viewing documents on the right.  Safari organizes documents for you with folders (shown across the top right) and subfolders.  Each folder has a specific function, described below.

Subfolders serve multiple purposes, including: a) creating a task list of documents to gather; b) organizing collections of documents for review; and c) organizing responsive documents for the Serving Party / Requester, either by document type or to create volumes as part of rolling productions.

Folder/Subfolder Key Features

  1.   The number of files in each folder is shown on the folder/subfolder
  2. You can create subfolders individually or use Subfolder Groups (set up by your company's Owners or Admins) to create multiple folders at once in a matter.
  3. You can create only one level of subfolders (you can't yet create sub-subfolders in Safari).
  4. You can move documents from any folder/subfolder to any other folder/subfolder (but only with the Move functionality and not drag and drop).
  5. The Serving Party / Requestor does NOT have access to any of the folders except the Response folder and only while a SecureShare portal is open for the matter.  And as noted in the box below, subfolders will be shown to the Serving Party / Requestor.
  6. If you have moved or created documents that have the same name in a folder, the folder turns red indicating you cannot save the matter with documents with the same file name.
  7. Owners or Admins can create subfolder groups, which can be selected in matters to create a pre-configured list of subfolders.
SUBFOLDERS IN THE RESPONSE FOLDER SHOWN TO SERVING PARTIES.  Subfolders display to the Serving Party / Requestor and organize the documents you've made available to them.  You can use this feature to organize the types of responsive documents you're providing or to organize rolling productions by subfolder (e.g., Vol. 1 - 6/24/2023).  To learn more, see SecureShare - Serving Party Experience.
Within the Response Folder, there are three Subfolders shown

This folder path shows the files in Subfolder Volume 3 within the Response Folder.
As in the examples above, you see the primary Folder (Response) and any Subfolders (Volumes 1-3) created in the matter.  By clicking the Subfolder icon, the view opens to a list of the files uploaded into that Subfolder.  You can upload, paste or create files with templates within a Subfolder just as in primary folders.  Click the folder path to return to the primary Folder to navigate away from the Subfolder.  

Folders

Description and Purpose

For each matter Type (Document Request, Garnishment, Litigation, and Other), a fixed set of folders are available in each matter, which cannot be changed or re-ordered.  Below is a description of each folder and its purpose.

SERVED
 -- For document(s) that were served (e.g., the subpoena).
  1. Types:  Shown for all Types.
COLLECTIONS -- A staging location for documents that should be reviewed before delivery.
  1. Types:  Shown only for Document Requests.
  2. Use this folder to reduce risk of anything being accidentally disclosed to the serving party before it's been reviewed.
  3. After a document (or all documents) have been reviewed, you can easily move them to the Response folder for delivery.
RESPONSE -- Location of responsive documents sent to the SecureShare portal when opened.          
  1. Types:  Shown only for Document Requests.
  2. This is the only folder in which a Serving Party / Requestor has access to the document, but only while a SecureShare portal is open.
  3. Use templates to create form documents that accompany your production (e.g., a custodian declaration or a cover letter).  See template response files to learn more.
ANSWER -- For copies of answers to legal orders to seize funds (e.g., account garnishment) or answers in other matter Types
  1. Types:  Shown for Garnishments, Litigation, and Other

FINANCIAL -- 
  1. For Document Requests (e.g., subpoenas):
    1. The folder containing the invoice that is provided to the issuer along with the responsive documents.
    2. If you use a Safari auto-generated invoice, Safari creates it and saves it in this folder.
    3. If you create a manual invoice, upload the invoice to this folder.
  1. For Garnishments:
    1. Unlike document requests, you don't generate invoices for payment in garnishment matters.  However, companies that must respond to garnishments typically store screenshots of account funds as of the time the garnishment was processed in the Financial folder for audit history.
  2.  For Litigation or Other:  If there is a specific workflow related to financial data, you can store those documents in the Financial folder.
CORRESPONDENCE -- Folder from which you can generate and send correspondence from templates and save other correspondence relevant to the matter.
  1. Types:  Shown for all Types.

INTERNAL -- For any internal documents associated with a matter.

Viewing Subfolders and Documents

Safari sets the default view to show Subfolders in the Primary Folder as shown here. 




You can also view a total list of documents, in which case there is a column showing the subfolder where the file resides. 


Subfolders - Using in Matters

Add Subfolder(s)

Add Individually. You may need to create Subfolders to organize your materials, and Safari lets you create Untitled Subfolders within a Primary Folder using the +NEW button.  You can enter more than one Subfolder name at a time, as shown in this example. 



Add a Subfolder Group. Safari Owners or Admins can create Subfolder Groups in the system Setup.  Under the Matters heading, select Subfolder Groups.  Within Subfolder Groups, Owners or Administrators can create a +NEW Subfolder Group with a naming convention describing the function of these folders, where they're available to users, and containing as many Subfolders as required.

Edit a Subfolder Name

The maximum length of a subfolder name is 100 characters.

Delete a Subfolder

You cannot delete a Subfolder if there are any documents in the Subfolder.  You must move or delete the documents before you can delete the Subfolder.  

Move a Subfolder

Subfolders can be Moved to different Primary folders using the ellipses to the right of the Subfolder. 

Move Documents from One Subfolder to Another Subfolder

You can move specified files from one Subfolder to another Subfolder using the Bulk Actions or ellipse options.  Simply select a document(s) and use the Move functionality with either the ellipses to the right of a single file or the Bulk Actions on the top of the section for multiple files and select the new location from the drop-down options. 

Subfolder Groups

Safari Owners or Admins can create Subfolder Groups in the system Setup.  Under the Matters heading, select Subfolder Groups.  Within Subfolder Groups, Owners or Admins can create a +NEW Subfolder Group with a naming convention that describes the function of these folders, where they're available to users, and which can contain as many Subfolders as required.  For details on creating Subfolder Groups, go to Setup - Subfolder Groups.

Folder Alerts

Safari flags identical file names to avoid duplicates.  You cannot Save documents with the same file name and must Delete or Rename the file to proceed.  Safari indicates the latest version of the file with NEW on the left side and groups the exact file names for review.
