Workflow - AI Data Extraction

AI Data Extraction Overview

When AI Data Extraction is enabled, Safari AI reads each served document and fills in the matching matter fields, so you spend less time manually keying data. Depending on your company's AI Data Extraction Review settings you will review what the AI has populated and confirm the value before moving forward. This page explains how AI extraction behaves and how to complete AI review.

How AI Data Extraction Works

When a Served Document is attached to a matter, Safari reads the document and populates the corresponding matter fields automatically. A few important things to note:
  1. AI Indicators. Fields that AI populates may be marked with an indicator, depending on your company's configuration. When AI has low confidence in a value, the field will be shaded as a cue to check it closely.
  2. No Data Overwrites. AI never overwrites a field that already contains data, anything entered manually stays as is.
  3. When Data Extraction Runs. AI extraction runs only when a matter is first created, and only when a single document is saved in the Served folder.

Fields Extracted by Matter Type

The fields AI populates depend on the matter's type:

Checks and Handwritten Values

Safari AI does more than read typed text. When a check is included with a Served Document, AI recognizes it and reads the check amount into the check field for every matter Type. The AI also recognizes handwriting, so handwritten values on a document can be captured and populated into the matching fields without manual entry.

Review AI Populated Fields

Your system Owner sets the default review requirement for AI extracted data in AI Setup, so what you must do before changing a matter's status depends on your company's configuration. When a review is required, an AI Data Verified checkbox appears below the Reviewer field in the matter. Fields that AI populated are marked with an AI indicator. Before you select the checkbox, use one of the methods below to confirm each value against the source document.



Check One Field at a Time. Use this method to spot-check a single value:
  1. Click the AI indicator next to the field
  2. The document viewer opens with every AI populated value highlighted and jumps to the value for the field you selected.
  3. Compare the highlighted text in the document to the field value.
Review All Fields at Once. Use this method to work through everything AI pulled:
  1. Click VIEW 
  2. The document viewer opens with an AI Extracted Fields list on the left, showing every value AI pulled, grouped by page.
  3. Select an item in the list to highlight it in the document. Selecting a highlighted value in the document also highlights the matching value in the left side panel.
Complete the Review. Once you have confirmed the values:
  1. Check the AI DATA VERIFIED box
  2. Select SAVE
After you save, all AI indicators are removed from the matter fields. The checkbox will remain visible until you leave the matter or refresh the page, after which it no longer appears. Safari captures who completed the AI review and when in the audit history.
