Admin - Editing Serving Party Data

Overview

To minimize data entry about the Serving Party / Requestor, Safari gives you a purpose-built lookup feature in matters to search for and auto-populate a Serving Party's information if they've previously served your company.  To learn more how this works within a matter, see Workflow - Editing Data / Audit History.

This help page provides details about how and when a Serving Party entry is automatically saved in Safari, how an Admin can edit or add to the list of Serving Parties, and how to clean up duplicates.

How and When Serving Party Data is Automatically Saved

A new card is created from matter data if there is a unique combination of the Serving Party Name and Email.  If a user changes an address entry or the organization name, a new card is not created but the data for the serving party updates.

The Subtype determines the creation or update of a Serving Party card as follows:
  1. DOC - When a portal has opened and the first communication is successful
  2. GARN - When the matter is closed for a non-simple reason (defined in Company Activity report)
  3. LIT - When the matter is closed for a non-simple reason (defined in Company Activity report)
  4. OTH - When the matter is closed for a non-simple reason (defined in Company Activity report)

Manually Updating Serving Party Data

Only Owners and Admins can edit and deactivate Serving Party lookup cards.  To access the list of Serving Parties, go to Setup and look for the Serving Party link under "Users & Third Parties".  Below is the listing page that Owners and Admins can access:

Create a New Serving Party Entry
Owners and Admins can create new cards within Setup by clicking +NEW as shown above the list of serving parties:


Editing an Existing Serving Party Entry

Click on the Serving Party name in the list to access the edit page:


  1. Correcting Serving Party data.  If the Serving Party contact details shown on a card are not accurate, edit the details and click SAVE

Eliminating Duplicates / Deactivating

For companies that have been on Safari for some time, there may be duplicate details for Serving Parties.  We recommend periodically reviewing the list and cleaning out duplicates by excluding these from the Lookup.  Just uncheck the box in the "Included in Lookup" column on the far right of the listing:
