OVERVIEW

Notes are a convenient workflow tool you can use in many situations.  If you're the Reviewer, use notes to remind yourself of a detail, or something you need to do.  Also use notes to communicate with other users in Safari and email the note to that team member.  Notes are internal only; they are viewable and accessible only by your company's users who have access to the Matter.  They are never shown or revealed to Issuers or other individuals who aren't users in Safari.

How to Access the Notes Workspace

To view or add a Note to a Matter, open the Notes workspace by clicking the Notes icon in the Matter header:



Also, in a table list of Matter, click the Notes icon to open the Matter with the Notes workspace open:  



The number in the Notes icon is the number of Notes saved in the Matter.

Viewing Notes

Safari shows the last three Notes.  If there are more than three, you can see more Notes by clicking the expand all icon, or using the paging links:

Saving / Deleting a Note

Type your Note in the text box, and then click SAVE. Once you've saved a Note, you can no longer edit it, only add new Notes.   
How to delete a Note.  Click the red trash can icon to the right of the Note, and then click SAVE.
Who can delete?  The only users who can delete a Note are (a) the author, and (b) system Owners.  If you can't delete a Note, the trash can icon is grayed out.
Audit History.  Notes are NOT captured in the audit history.  So once a Note is deleted, it is permanently deleted.

@ Mention - Sending Notes via Email to Other Users

How to Send Notes via Email.  It's easy!  Type "@" and then start typing the user's name.  Safari will present a list of selectable users.  Select the user (and you can @ mention as many users as you want), and then type the rest of your Note.  When you click SAVE, Safari will send an email to the user(s) selected with your Note included.

@ mention icon shortcuts for Reviewers and participants.  The fastest way to make a note to the Reviewer or a participant is to click the notes icon to the right of their name -- it automatically opens the Notes workspace and pre-enters the @user name.

TIP - INCLUDE A NOTE IN THE NEW REVIEWER/PARTICIPANT EMAIL:  Follow the steps below to include a Note with the new Reviewer/Participant email):  
  1. Select the new Reviewer (or if adding a new Participant, select the Participant's name and click the ADD button). Do not click save yet.
  2. Click the Notes icon to the right of the new Reviewer/Participant to open the Notes workspace with their name prefilled.  To include others, type @ to select the name of any additional users.  Finish typing your Note.
  3. Click  SAVE .
NOTE:  Even if the user has disabled new Reviewer/Participant emails, Safari still sends an email to the user because of the @mention.
However, if you select the new Reviewer or Participant and save, and then create a Note and save, the Note is not included in the new Reviewer/Participant email and is sent as its own email (see examples below).
To Whom Can You Send Emails?  The @ mention feature is limited to users who can access the Matter (either as the Reviewer, a Participant, or because they have "Subtype Access" -- see Access Restrictions for more information).
